Formal Polish emails open with « Szanowny Panie / Szanowna Pani » (Dear Sir/Madam) or « Szanowni Państwo » (to a group). State the purpose with « Piszę w sprawie… » (I am writing regarding…). Make polite requests with « Uprzejmie proszę o » + accusative: « Uprzejmie proszę o odpowiedź. » Refer to attachments with « W załączniku przesyłam… ». Close with « Z poważaniem » (sincerely) followed by your name. Keep verbs in formal 3rd person when addressing the reader: « Czy mógłby Pan potwierdzić termin? » Avoid the informal « Cześć » and « pozdrawiam » in strictly formal contexts.
Write a short formal email (5–6 sentences) to a colleague explaining you cannot attend a meeting and proposing a new date.
